Invite a teammate
An Admin or Workspace Manager can invite members to a workspace.
- Open Workspaces and select the workspace.
- In the members area, enter the teammate's email address.
- Choose Viewer for read access or Workspace Manager for asset and workspace management, then send the invitation.
- Check the members table for an existing account, or pending invitations for someone who still needs to register and accept.
Invitations cannot grant Admin. See Roles and permissions before assigning access.
Pending invitations
When you invite a teammate who does not yet have a TokenTimer account, we create a pending invitation. The invitation stays pending until the invitee signs up and accepts, or an admin or workspace manager cancels it from the workspace settings.
How pending invitations count against the member limit
Your plan caps the number of members per organization. The invite check uses the formula:
distinct_active_members + distinct_pending_emails + additional <= plan_member_limit
additional is 0 when that email is already a member or has a pending invitation anywhere in the organization; otherwise it is 1. An organization with 8 distinct active members and 3 distinct pending emails counts 11 slots before a new person is invited. See Plan limits for the member caps.
Cancelling an invitation
On the Workspaces page, under the members table, any admin or workspace manager can see the list of pending invitations and click "Cancel invite" to free up a slot.
Cancelling a pending invitation deletes the row and writes an INVITATION_CANCELLED audit event. It never affects invitations that have already been accepted. The invitation token is treated as a bearer secret and is never returned by the list endpoint.
Invitations clear automatically when the invitee accepts them. If you do not see an expected pending invitation, it has likely already been accepted or cancelled.
Change or remove access
Only an Admin can change a member's role. Admins and Workspace Managers can remove non-admin members. Removing membership ends access to that workspace; it does not delete the person's account or memberships elsewhere.
